Job Summary:
Reporting to the Operations Manager, the Operations Assistant supports all behind-the-scenes activity that brings concerts and programs to life. Your job is to get things done, acting as the first point of in-person contact for artists performing at the Winspear Centre and Edmonton Symphony Orchestra while also ensuring that production and equipment needs are met. This role is responsible for helping productions run smoothly and for providing top-tier customer service to artists and vendors, ensuring that each of our contacts leaves having had an exceptional experience.
What you will do:
- Arrange for guest artists’ hospitality including arranging transportation, accommodations, and ensuring artists’ riders are fulfilled
- Process payment requests so artists get paid in a timely manner
- Assist with coordination of both orchestral and non-orchestral activities and events, including community concerts and festivals
- Support equipment rental processes and logistical arrangements
- Review contracts to understand terms and conditions, and ensure they are being followed
- Assist with developing processes, plans, and documentation for operational support
- Create stage plots using AutoCAD software
- Enter data into Orchestra Planning and Administration System (OPAS) software
- Assist with on-site coordination of equipment and production components, including A/V setups for meeting spaces and lobby events/programs
- Transport equipment and people in a vehicle
- Develop and maintain relationships with vendors and stakeholders
Qualifications
- Knowledge of orchestra operations and production
- Competence in Microsoft Office (Outlook, Excel, SharePoint), AutoCAD, and database software
- Able to lift and carry up to 40 pounds and stand and move for long periods of time
- Ability to anticipate needs and take initiative to address them
- Strong organizational skills and processes
- Strong written and oral communication skills
- Ability to thrive in a fast paced, rapidly changing environment
- Exceptional interpersonal skills with the ability to engage diverse stakeholders
- Valid Driver’s license, reliable vehicle, and a clean driver’s abstract
- Comfort driving a large vehicle (up to a 3-ton truck)
- A clear criminal record check
